Sales policies

Campervan and converted SUV rental

To make sure that your road trip is going well, you will find below our sales policies. The rental contract created during your reservation is nominative and can be sent to you on request. The bellowing informations are additional.

*To buy a conversion kit, a rooftop tent or any other equipment, please refer yourself to the legal policies of our online store.

1. Booking

1.1. A deposit of 30% of the total amount excluding tax is required to confirm the reservation.
1.2. The remaining 70% (including selected options) will be invoiced 7 days before the departure date.
1.3. We only accept credit card payments.
1.4. A 2.95% international transaction fee applies to each payment and is non-refundable.
1.5. Taxes (TPS and TVQ) are applicable on all costs related to the rental.
1.6. We reserve the right to move your reservation to a van similar to the one reserved, in the event that the one reserved is not available for a reason beyond our control.

$2. SECURITY DEPOSIT

2.1. A 500 deposit will be frozen on a credit card the day of departure and returned within 7-10 business days of vehicle return. It is your responsibility to have the necessary funds available on the credit card.
2.2. The deposit is retained until Vanpackers® has confirmed that no damage has been observed on the rented goods (including the vehicle, equipment and any object related to the rental).
2.3. Part of the deposit may be invoiced to reimburse excess penalties or charges, if applicable.
2.4. If any damage is caused to the vehicle, an estimate will be requested from Vanpackers®’ partner garage and the amount of repairs will be retained on deposit. If this amount is higher than the amount of caution, we will contact you.
2.5. Damage and degradation will result in a deduction from the deposit. The list of costs is available on request.

3. CANCELLATION AND REFUND

    • Cancellation free of charge 48h after booking
    • Until 30 days before your departure : Report your trip until the end of 2022. The price may be subject to some adjustment according to the 2022 prices OR total refund of your deposit (administrative fees of $ 100 + tx apply) .
    • Between 29 and 15 days before your departure : Report your trip until the end of 2022. The price may be subject to some adjustment according to the 2022 prices OR we keep 15% of the total amount of the reservation (including taxes, insurance and options) for a complete cancellation.
    • Between 14 and 7 days before your departure : We keep the total amount of your deposit (equivalent to 30% of the amount of your booking).
    • Less than 7 days before departure : The total amount of the reservation (including taxes, insurance and options) will be invoiced as described in our payment policy.

4. Driver

4.1. All drivers must be at least 21 years old when taking possession of the vehicle (there can be some exceptions).
4.2. If the driver is between 21 and 24 years old, he has to mention this before booking so that our team can notify the insurance companies. Otherwise, Vanpackers® reserves the right to cancel the reservation (standard cancellation policies apply).
4.3. Drivers must hold a valid driver’s license from Canada, USA or a country of the European Union, which will be subject to the acceptance process of our insurer. Vanpackers® disclaims all liability in the event the insurer refuses to validate the driver.
4.4. The driving license must be presented when taking possession of the vehicle.
4.5. Drivers with a probationary driving license are not allowed to drive the vehicle.
4.6. Only passengers registered in the contract when booking and possessing a driving license previously validated by our insurers may drive the vehicle throughout the rental period.
4.7. For tourists arriving from outside Canada: a copy of your passport should be sent together with the driver’s license.
4.8. It is your responsibility to ensure that your driver’s license is valid. Please check with the Société de l’assurance automobile du Québec (SAAQ).

5. VEHICLE RENTAL

5.1. The minimum rental period is 5 days.
5.2. The rental period is determined according to the number of days (and not nights).
5.3. The vehicle must be taken in between 9.30 a.m. and 2p.m. (or according to the agreement made with Vanpackers®).
5.4. The vehicle must be returned before 4 p.m. on the last rental day. Any lateness will be penalized by an additional charge of $ 50 / hour + taxes.
5.5. No refund will be issued for early return or late possession.

6. Mileage and gas

6.1. Each rental includes 220km per rental day.
6.2. Each excess kilometer will be charged at $ 0.20/km +tx
6.3. Additional kilometer blocks must be purchased prior to departure and are non-refundable.
6.4. The vehicle is delivered with a full tank of gas and must be returned with a full tank. An invoice may be required as proof in case of doubt.
6.5. In case of non-respect of the previous point, an administrative fee of $ 10 as well as gas charges will be retained from the deposit.
6.6. You are responsible for the costs of your gas consumption during the rental period.

7. Customer responsabilities

7.1. When the vehicle is running, the number of passengers cannot exceed the number of certify
seat belts (4).
7.2. The driver is entirely responsible for complying with the Highway Safety Code.
7.3. The customer is responsible for paying any fine, towing or toll received during the rental period, including speeding tickets recorded by photo radar.
7.4. For each ticket or toll charge issued during the rental period that has not been paid, the customer agrees to refund Vanpacker® for the amount entered, in addition to the administrative fees of 15$ +tx. You must notify Vanpackers® upon return of the vehicle if this situation occurs.
7.5. The fees for changing the tires or the windshield are the responsibility of the customer (except with road insurance and Premium assistance).
7.6. It is forbidden to travel to the following territories: Alaska, Nunavut, Northwest Territories and Yukon due to their geographic distance. Newfoundland and Labrador and Eeyou-Istchee-Baie-James are not forbidden territories, but it is important to let us know before your trip if you want to go there.
7.7. We ask travelers to notify Vanpackers® in the case of any broken and/or missing items at least 48 hours before returning the vehicle.
7.8. It is your responsibility to turn down the light intensity dial on the instrument panel to preserve the battery.

8. VEHICLE MAINTENANCE

8.1. It is strictly forbidden to smoke (tobacco and / or cannabis) in the rented vehicle. In case of the non-respect of this condition, Vanpackers® will charge a cleaning fee of 250$ +tx.
8.2. The vehicle supplied to you is clean and must be returned CLEAN. We are expecting your collaboration
and we don’t charge any cleaning fee. However, in the event of abuse, our team reserves the right to charge cleaning fees of up to 250$ +tx.
8.3. Any equipment or vehicle breakage resulting from excessive use will be invoiced to cover repair and / or replacement costs according to the prices established on Vanpackers® equipment list (see 2.4 & 2.5)
8.4. In some cases we accept small dogs (less than 40lbs), but you must contact the Vanpackers® team first to discuss this. If you bring your animal without informing the Vanpackers® team, a fee of 250$ +tx will be charged for non-respect of this rule.
8.5. You must return all the vehicle equipment in the same condition as it was when you left (clean and functional). An equipments list can be provided on request.
8.6. It is your responsibility to take care of the vehicle keys until you return to our office. In case of negligence (loss / theft / degradation of the keys), the costs associated with the replacing of a key will be at your expense.
8.7.  It is your responsibility to use the correct fuel. In case of negligence, you must contact Vanpackers® as soon as possible. All repair fees are your responsibility.
8.8. You must take care of the vehicle and check the different fluid levels. If any engine failure or breakage happens when the level check has not been carried out, you will be held responsible and you will be asked to pay for the related repairs.
8.9. The vehicle is delivered with 4 tires in good condition and their conditions have been checked previously. If one or more of them were to be damaged, it is your responsibility to replace it/them immediately at your expense (except with Premium protection and assistance).
8.10. You must stop if any of the lights on the dashboard indicating a mechanical problem come on or if you notice a problem with the vehicle. A reminder of lights indicator is provided for your information.
8.11. Any damage observed on the return of a vehicle is subject to an assessment by an independent expert. For damage that does not make the vehicle unfit for traffic, the expertise will be carried out when the vehicle will be returned. The customer can request a second opinion. If there is an immobilization of the vehicle for this purpose, some immobilization fees corresponding to the rent of the vehicle according to the rental rate in force will be applied.
8.12. The customer expressly agrees to indemnify Vanpackers® for the monetary equivalent of the damage to the hired vehicle, up to the amount payable by him, if his liability is established.

9. CURRENCY & EXCHANGE RATE

9.1. 9.1. All prices are shown in Canadian dollars.
9.2. 9.2. All prices are shown before taxes application (TPS/TVQ).
9.3. 9.3. Vanpackers® is not responsible for changes in the exchange rate in the event of price disparities.

10. PROTECTION AND ACCIDENT

10.1. Subscription to Vanpackers®’ basic protection and roadside assistance is compulsory for each location.
10.2. This protection includes a deductible of $ 1,850 and civil liability of $ 2 million (legal minimum).
10.3. The insurances provided by credit cards do not replace those of Vanpackers®, but can be a complement.
10.4. In the case of an accident, you must inform Vanpackers® immediately. An event report / finding / police report must be completed, regardless of the responsibility or the seriousness of the incident. We will do our best to help you on your journey, if possible.
10.5. No refund will be issued on days lost in the event of an accident.
10.6. If the vehicle must be immobilized for more than 24 hours following a breakdown or any problem not resulting from misuse or neglect and upon confirmation from the garage where the vehicle is towed, Vanpackers® undertakes to provide a replacement vehicle in a radius of 800km around Montreal and Quebec (the rest of Canada is on a case-by-case basis). In all cases, Vanpackers® is committed to providing excellent service and to doing its utmost to help you in any potential inconvenience.
10.7. Basic protection provides roadside assistance within a radius of 50km around the vehicle. Premium protection provides roadside assistance within a radius of 800km around the vehicle.
10.8. Personal items are not covered by our protection (basic or Premium). It is recommended that you take out third-party travel insurance.
10.9. Administrative fees of $ 150 per event will be retained.
10.10. The protections (basic and Premium) do not cover negligence.
